Job purpose
To provide comprehensive administrative support to the Buying Team

Principal accountabilities

New Product Set-Up

• To produce accurate long descriptions of all products going to air, ensuring the correct terminology is used;
• To set-up new products on the relevant systems, ensuring all required information is passed to the relevant teams;
• Where appropriate to accurately update the critical path in a timely manner.

Samples Management
• To manage all samples in the department, ensuring the sample area is maintained;
• To collate samples and relevant information for the Broadcasting and Marketing team as required for TV promos, events etc.;
• To liaise with suppliers regarding samples, packaging and labelling;
• As and when requested, obtain relevant quality and safety documentation from suppliers, liasing with Quality Assurance (QA) where appropriate.

General Administration
• To ensure all supplier and Guest Presenter information and contact details are accurately kept in an accessible format for all relevant teams;
• Where appropriate and as directed by the Buyer, support in communicating with suppliers and Guest Presenters regarding bookings and product running order for live shows;
• To return samples to the vendor in a timely manner;
• To support the buying team is preparing product information, sales information, trend packs and/or mood boards, including but not limited to preparation for Today’s Special Value meetings (TSV), Airtime Strategy meetings (ATS) and Open To Buy meetings (OTB);
• To undertake all departmental administration as required, including but not limited to providing information to others, developing and producing ad-hoc reports and answering phones.
