World Vision Italia is a Christian relief, development and advocacy organisation dedicated to working with the world’s most vulnerable people, regardless of religion, race, ethnicity or gender to overcome poverty and injustice. We are part of the international network of World Vision (www.wvi.org). We are the largest relief and development NGO in the world, with operations in around 100 countries and have about 40.000 staff members all over the world who work with over 10 million people in poor communities in the struggle to build a better future for themselves and their children. The Italian office, based in Rome, supports the work of World Vision offices in developing countries (Africa, Asia and Latin America) through fundraising. For the Italian office, based in Rome, we are looking for a Senior Administration Officer.

Job Description:
Under the supervision of World Vision Italia’s Director the Administration Officer will perform the following duties:
• Develop and implement financial policies and procedures for WV Italia following WV international policies and procedures and in compliance with the Italian laws
• Ensure compliance with Italian policies, procedures, rules and regulations in force for the no profit organizations (NGOs, Onlus etc.)
• Set up clear policies on accountancy
• Prepare and manage documents for monthly, quarterly and annual balance sheet, in coordination with tax and fiscal consultant on a monthly basis
• Prepare, manage and monitor budget plans and reports to be submitted to WV International
• Production of monthly financial reports on Income, Costs and Cash Flow to be submitted to the Director
• Liaise with internal and external auditors; liaise with Banks and Poste Italiane
• Prepare Board meetings and Association members meetings, organizing logistics including travel arrangements
• Coordinate with the Fundraising Department for the management and reporting of fundraising campaigns, especially Face to Face campaigns
• Bookkeeping activities (including filling of invoices)
• Data entry of payments (Postal Giros, Bank Transfers, Credit Card, Direct Debit from Banks)
• Set-up data-entry business process solutions with a special focus on Direct Debit and the new SEPA standard protocol
• Management of transfers to field programs; prepare, manage and monitor budget transfers plans
• Attend international meetings as appropriate
• Responsibility to create and maintain an effective and excellent working environment. This includes maintaining provision of good infrastructure and equipment e.g. printers, telephone services.
• Undertake any other task to strengthen WV Italia’s work as required by the Director and as the need may arise

Qualifications:
• University Degree in Economics, Business Administration and related fields
• At least 3 year experience in a related role based in Italy with a specific focus on finance and administration with preference for the no profit organizations
• Solid knowledge of accounting principles, financial systems according to Italian and International standards, budget/cash flow monitoring and internal accounting controls
• Excellent fluency in English (oral and written)
• Computer numerate with good knowledge of Excel, Access and data analysis tools
• Experience in working in an international context
• Desirable experience with MFA (MAE) and EU grants regulations

Characteristics:
• High degree of flexibility (Available to work occasionally in the range 18.00-20.00 if needed, especially for calls with US colleagues)
• Able to work as a part of a small but dynamic and busy team
• Able to work under pressure
• Proven planning and organizational skills, especially an ability to organize own work autonomously
• Able to work in a multi tasks mode, handling multiple concurrent projects and activities
• Proactive attitude to consistently improve the efficiency of office activities, solving problems and discovering long term solutions
• Good understanding of the humanitarian and no profit sector
• Negotiation and strong interpersonal skills with the ability to establish and maintain effective working relations with people in a multicultural, multi-ethnic environment
